Reception Coordination

Establish a reception timeline with the bride

 

Assist bride, groom, bridal party and immediate family with any needs or requests

 

We will light all candles before reception

 

Placement of toasting flutes, cake cutting knife, pictures, guest book etc.

 

Oversee all vendor setup and clean up

 

Review Script with DJ/Band for announcements and reception activities

 

Coordinate with bride, groom, bridal party, and family regarding announcement(s) into reception.  We will place all parties in line for announcements

 

Coordinate all special dances with DJ/Band and all special dance participants

 

Coordinator notifies caterer, photographer, videographer, reception entertainment, and all other appropriate vendors of cake cutting

 

Coordinator cues DJ/Band of cake cutting and toast announcement to guests

Coordinator cues guests giving toasts

 

Coordinator ensures that caterer prepares “going away” basket of food for bride and groom

 

Coordinator gathers going away basket places it in departure vehicle

 

Coordinator displays favors/memorabilia to distribute to guests at the end of the event

 

Coordinator ensures that photographer, videographer, and DJ/Band are prepared for couple’s departure

 

Coordinator works with DJ/Band to facilitate bouquet/garter toss and departure of couple

 

Distributes sparklers, birdseed, petals etc. for couples grand exit Coordinator supervises collection of all gifts, bridal memorabilia and/or supplies (guest book & pen, cake knife or service, disposable cameras, baskets, bridal bouquet, flower arrangements, extra programs, extra favors and memorabilia, etc.) and ensures that all items are loaded into “designated” vehicles.
